University E-mail Service: Sharing Calendars with Buckeye Mail Users

University E-mail Service users can request to see a student employee's Buckeye Mail calendar and also share their calendars with students. Sharing calendars is a simple way to keep others informed of meetings, assignments, and tasks on a specific calendar.

How do I share my calendar or request to see a student's calendar using Outlook 2010 / 2013 / 2016 in Windows?

  1. Click Share Calendar.
  2. Type the student's entire e-mail address (name.#@buckeyemail.osu.edu) in the To: field of the sharing invitation. You may enter more than one student if you have several student employees.
  3. Check or uncheck the sharing request parameters:Select the level of detail from the Details drop-down list. Type a message to the recipient, if desired.
    • "Request permission to view recipient's Calendar".
    • "Allow recipient to view your Calendar".
  4. Send the sharing request.

How do I request to see a student's calendar using Outlook 2007 and 2011 for Mac?

Outlook 2007 and 2011 for Mac users must use the Outlook Web App (see below) to send a sharing invitation, to receive the Allowed response from the student's Buckeye Mail Account, to open the shared calendar, and to stop sharing your calendar with a student. Once opened in the Web App, the shared calendar will be available in Outlook 2007 and 2011.

How do I send a sharing invitation from the Outlook Web App?

  1. In Outlook Web App, click Calendar in the Navigation Pane.
  2. Click Share in the Calendar toolbar.
  3. Click Share a Calendar and the name of the calendar that you want to share.
  4. Type the student's entire e-mail address (name.#@buckeyemail.osu.edu) in the To: field of the sharing invitation. You may enter more than one student if you have several student employees.
  5. Under Share, select the level of detail you want to share.
  6. Check "I want to request permission to view the recipient's Calendar folder".
  7. Add any information you want to the body of the request
  8. Click Send to send your request.

If you do not wish to share your calendar with the student, have the student send the sharing invitation (see below).

How does a student employee send a sharing invitation?

The student can use the Outlook Web App to send a sharing invitation:

  1. In Outlook Web App, click Calendar in the Navigation Pane.
  2. Click Share in the Calendar toolbar.
  3. Click Share a Calendar and the name of the calendar that you want to share.
  4. Type the staff member's e-mail address (name.#@osu.edu) in the To: field of the sharing invitation. You may enter more than one staff member, if applicable.
  5. Under Share, select the level of detail you want to share.
  6. Do not check "I want to request permission to view the recipient's Calendar folder".
  7. Add any information you want to the body of the request
  8. Click Send to send your request.

How do I stop sharing my Calendar?

In Outlook 2010, 2013, 2016:

  1. Click Calendar Permissions.
  2. Select the name of the person whose permissions you want to change.
  3. Click Remove.

In Outlook 2007:

  1. Right-click the Calendar you would like to update in the Navigation pane.
  2. Select Change Sharing Permissions.
  3. Select the name of the person whose permissions you want to change.
  4. Click Remove.

In Outlook Web App:

  1. Click Share on the Calendar toolbar.
  2. Click Change Sharing Permissions and select the name of the calendar that you want to stop sharing.
  3. Click the name of the person you want to stop sharing your calendar with to select it, and then click Delete (Description: Delete).
  4. Click Yes to confirm that you want to delete that person from the list.
